The function Deposit is convenient for the patients who have advance payments to be used to cover a cost of treatment in future, especially, if the payment is in currency that is not the main currency of the clinic.
A patient deposit account is related directly to a patient's financial balance and does not affect a debt or an advance payment amount. Follow the sequence of work with patient deposits:
1. Activate advance payment in a clinic.
First activate the parameter Use advance payments in Settings → Other → Clinic settings to use the function Patient deposits. Only a clinic owner can activate the function.
Then the option of making a Patient deposit appears in the section Finances in every patient card.
2. Make a patient deposit.
To deposit funds into a patient account, go to the section Finances in the selected patient card and click the Plus button in the top right corner.
Specify the following information in the deposit box:
Then click the Save button. Deposit is added.
The corresponding information on the deposit amount and currency appears in the section Finances when the deposit is made:
Different deposits in different currencies are also displayed in the section Finances.
You can use the Deposit in future for settlements with a patient by replenishing his/her current balance from the deposit account.
Perform the transaction Deposit replenishment and transfer the appropriate amount to the current patient balance to use funds from the patient deposit account.
Click the deposit amount in the section Finances in the selected patient card to perform the Deposit replenishment transaction. Specify an amount to be charged off the deposit in the box. Specify the appropriate deposit for patients having deposits in several currencies.
A deposit replenishment is marked with .
Only depositing transactions appear in the module Cash desks. This is because the Deposit replenishment transaction does not result in actual flow of funds in the cash desks because the deposit funds are already in the selected cash desk as of the deposit replenishment.
Thus, it is recommended to create additional deposit cash desks (for every currency used in a clinic and payment method) in Cash Desks → Settings to follow up the flow of deposit funds.
In the case when a patient pays with the deposit funds, a specialist who accepts the payment shall manually transfer the appropriate amount from the deposit cash desk to the main cash desk used for the current financial transaction.
The flow of funds enables simple tracking of the amounts that have already been used by a patient to pay his/her treatment and balance of the patient account and can be used for the future settlements with a patient. More information is available in the report Patient deposits.
Go to the section Finances of a patient card → subsection Payments → tab Deposits to transfer funds from the deposit cash desk to the cash desk of current transactions.
Click the Additional transaction of transfer form the patient deposit in the last right column. The box Cash Desk transactions opens:
Specify a transferred amount and date in the box. Then select a deposit cash desk, funds from which shall be withdrawn, and a cash desk where the funds shall be put.
Add a comment, if necessary, Click Save. Transfer is completed.
A Deposit can be refunded to a patient, if necessary. For the purpose click the deposit amount in the section Finances of a patient card. Specify a refund amount, select a cash desk, funds from which shall be refunded, and activate a refund slider at the the bottom of the window. Click the Save button:
Deposit refund is not shown in the section Finances of a patient card. Only an amendment of the deposit amount is displayed.
All patient deposit transactions are shown in the additional tab Deposits of the patient payments.
All deposit-related actions are shown in the report Patient deposits.
As other reports in Cliniccards, the report can be filtered by the appropriate parameters with the corresponding filters in the first row of the report. The report can be also saved in Excel format at the device or printed.
