Toolbar

A toolbar is an important element of the user interface that ensures quick navigation between the main service sections such as Schedule, Patients, Cash Desks, Reports, Settings.

The control panel also facilitates operation of the following tools:

  • patient search
  • creation of new patient cards
  • photo plow, waiting list
  • reminders and notifications

Here are the main tools of the control panel and principles of their operation:

  • Photostream
  • Waiting list
  • Reminders
  • Notifications

 

PHOTO FLOW

Photo flow is a tool that enables fast download of images and any other files. The photostream ensures fast download of patient files from your computer (for example, for a shift or visit) and prompt allocation of the files between the patient cards.

 

WAITING LIST

Waiting List is a tool used to optimize a clinic work schedule and doctors’ load. The waiting list enables you to ensure fast filling of the gaps in the doctors’ work schedule using a list of patients who want to appoint a visit to a certain doctor. Thus, add the patients, whose visit will be appointed as soon as the doctor has a gap in his/her schedule, to the waiting list.

The following sequence of steps is provided by the waiting list:

  1. Entry of patients to the waiting list. 

Use a widget Waiting list at the right upper panel to enter a new record to the waiting list quickly. Click the button Add a patient to the list to create a new record in the list. You can edit and delete the created records.

All records of the waiting list are available in the report Waiting list. Herewith, you can sort the patients by the status of their appointment (Appointed, Canceled, Awaits) and a record comment in the report.

  1. Booking a patient appointment

Go to the waiting list to fill the gaps in a doctor’s work schedule. Click the button Book an appointment next to the corresponding patient in the list and create a new record in the schedule to book an appointment for a patient from the waiting list with a doctor. Please note that the corresponding patient and doctor are matched automatically when a visit is created.

  1. Changing of the appointment record

Change a patient status in the waiting list to the Appointed when a visit appointment is created. Thereafter, the patient is automatically deleted from the list.

 

REMINDERS

Reminder is a convenient tool for creation of reminders on the next treatment stages in the patient cards. The reminders are also used for the internal communication of the clinic specialists. Thus, the reminders are divided in two types in Cliniccards:

1. Reminders on patients are the reminders that are created in a patient card.

Go to the tab Visits in the card of a patient, a reminder for whom shall be created, to add a patient reminder.

Click the button Add a reminder. Select a reminder date in the reminder window and assign a responsible person, i.e. a specialist or a group of specialists (for example, administrators or heads) who receive a reminder on the named day. The reminder will appear in the widget Bell at the toolbar in the right upper corner.

 Add important information and select a reminder status in the field Comment.

All reminders are available in the report Reminders. Herewith, you may sort patients by the status of their reminder (Scheduled, Executed, Canceled,  Postponed) and comments in the report.

2. Simple reminders are reminders that are not related to the patients.

Use a widget Bell at the toolbar to create a simple reminder. Open the widget and click the button +.

Select a reminder date in the window and assign a Responsible person, i.e. a specialist or a group of specialist who receive a reminder notification on the named day. Also fill in the field Comment and specify an appointment detail.

A responsible employee will see the reminder on the named day. All reminders are available in the report Reminders. Herewith, you can sort the patients by the status of their reminder (Scheduled, Executed, Canceled, Postponed) and comments in the report. 

 

NOTIFICATIONS

The widget Notifications shows all important notifications related to the work of the account owner. These are the following notifications:

  • notifications about new comments in the treatment history of the clinic patient
  • notifications on provision of access to the patient cards by your colleagues
  •  become a clinic participant, including all cooperation conditions
  • invoice notification. For PRO users only. 

Go to My profile to set a notification sending procedure. Herewith, you may let the system send you all notifications or notifications where you are tagged in the comment to the patient treatment history.
